Organising sheet music

Hi all,
I play with a small but old band. We have lots of sheet music gathered through the ages in various states of organisation. Our requirement is to organise our sheet music such that it can be:
1. stored safely and retrieved easily
2. reviewed quickly for suitability for the current band
3. flexible; so that we can swap parts between instruments
What golden rules do you live by when filing, retrieving, issuing your sheet music? Please assume that I have zero-knowledge on this matter, all thoughts and ideas are welcome.
